How Promise Maintenance LTD handles personal information collected through this website and its quote-request form.
Who we are
This website is operated by Promise Maintenance LTD (“Promise Maintenance”, “we”, “us”), a building-maintenance business serving the Richmond, Vancouver, and Burnaby area of British Columbia, Canada. You can reach us by phone at 672 339 3539 or by email at info@promisemaintenance.ca.
Privacy Officer
Our Privacy Officer is responsible for our compliance with this policy and for responding to privacy questions, access or correction requests, and complaints. You can contact the Privacy Officer by email at info@promisemaintenance.ca with the subject line “Attention: Privacy Officer”, or by phone at 672 339 3539. This route is monitored during ordinary business operation.
Information we collect
Ordinary website visits. When you visit the site, our hosting and security provider processes standard technical information needed to deliver and protect the pages you request. This can include your IP address, the pages and resources requested, date and time, referring page, approximate network-based location, and basic device and browser characteristics.
Quote-request form. If you submit the quote form, we collect the details you provide: your name, phone number, an optional email address, the service you are requesting, your service area, the urgency, and your free-text description. You choose what to write in the description, so please do not include sensitive information you do not want to share.
Analytics (only if you allow it). If you consent to analytics, Google Analytics 4 collects usage information about how the site is used, such as pages viewed and certain interactions. Analytics is off until you choose “Allow analytics”, and you can change your choice at any time from the “Analytics preferences” link in the footer.
Why we collect and use this information
- To respond to your enquiry and prepare and discuss a quote.
- To operate, deliver, maintain, and secure the website, including protecting it against spam and abuse.
- To understand, only with your consent, which pages and contact actions are useful so we can improve the site.
- To keep records we reasonably need for operational, security, complaint-handling, and legal purposes.
Service providers and processing
We use a small number of service providers to run the site and handle enquiries. The categories currently used are:
- Cloudflare — website hosting and delivery, security and bot protection (including the Turnstile challenge on the quote form), and, where operated, privacy-oriented Cloudflare Web Analytics/RUM. In this role Cloudflare processes technical request data, including IP addresses, at the network edge.
- Google Analytics 4 — usage analytics, used only if you consent. This is separate from Cloudflare’s processing.
- A transactional email provider — used to deliver the quote notification to us and an acknowledgement to you when you supply an email address.
These providers process information on our behalf for the purposes above. Providers may change over time; we will keep this section accurate to the categories in use.
Cookies, local storage, and analytics consent
The site stores your analytics choice on your device (in local storage) so it can be remembered across pages and visits. If you allow analytics, Google Analytics sets its own first-party cookies. If you decline, Google Analytics is not loaded and its cookies are not set. If you previously allowed analytics and later withdraw consent, we disable Google Analytics collection and remove its first-party cookies. You can grant, decline, or withdraw consent at any time using the “Analytics preferences” link in the footer.
Cross-border processing
Some of our service providers operate infrastructure outside Canada, including in the United States, so your information may be processed or stored outside British Columbia and may be subject to the laws of those jurisdictions. We do not claim that all information stays in Canada.
What we do not do
Details you submit through the quote form are used to respond to your request and are not sent to Google Analytics. We do not sell your personal information.
How long we keep information
We keep personal information only as long as reasonably necessary for the purpose it was collected and for related operational, security, complaint-handling, and legal needs, after which it is deleted or de-identified. We do not commit to fixed retention periods where they would be inaccurate.
Safeguards
We use reasonable technical and organizational measures appropriate to the sensitivity of the information to help protect it against loss and unauthorized access, use, or disclosure. No method of transmission or storage is completely secure.
Your choices and rights
Subject to applicable law, you may ask to access or correct the personal information we hold about you, or raise a privacy concern, by contacting our Privacy Officer above. You may also contact the Office of the Information and Privacy Commissioner for British Columbia. We will respond within a reasonable time.
Changes to this policy
We may update this policy from time to time. When we make a material change, we will update the effective date below and, where appropriate, provide additional notice.
Effective date
This Privacy Policy is effective as of August 11, 2026.
